Mobility for traineeship: step by step

BEFORE THE MOBILITY

1. actively seek information about the institution/company to which you would like to apply, The best source of internship positions offered are those posted on our website or on online platforms where employers submit their offers. An example of such a platform is Erasmusintern.org.

2. During the recruitment, prepare an application form for traineeship and then submit it to Erasmus+ Coordinator IN YOUR DEPARTMENT. Then the coordinator will submit your application to the Erasmus+ Office.

3. The Erasmus + Office recruits and calculates the available funds.

4. You are waiting for an e-mail from the Erasmus + Office regarding the recruitment results, which will include all the details regarding the implementation of the mobility.

5. At least one month before the planned departure, you prepare the necessary documents:

  • LEARNING AGREEMENT
  • INSURANCE (HEALTH, ACCIDENT AND PRIVATE LIABILITY)
  • FOUR REQUIRED STATEMENTS

6. You draw up (with the help of the Program Coordinator) the Learning Agreement before the mobility, you get all the necessary signatures – yours, the Program Coordinator, the Erasmus + Office, the host institution.

The internship can be carried out in three different forms.
When completing the Learning Agreement, you will have to choose which option applies to you:

  1. Internship is an integral part of the education program (compulsory to obtain a qualification (diploma))
  2. The internship is not compulsory for the field of study (volountary internship);
  3. Internship for graduates (the graduate internship must be completed within 12 months after the defense, which means that it must end on the day before the anniversary of your defense).

7. Start a visa application process (if needed). The Erasmus+ Office will prepare and give you an official document confirming your Erasmus+ recruitment that will allow you to obtain a visa. Later, you will also get a grant for your stay.

8. You provide the Erasmus + Office with a copy of the health, accident and civil liability insurance applicable in your country of mobility for the entire period of your mobility.

You also provide us with a statement on the form of payment of the scholarship (statements with the account number entered without appropriate breaks will not be accepted), a statement on the coverage of additional costs, a statement on the coverage of additional costs, a statement on the completion of the previous semester and a statement on previous mobilities),

9. If, during the mobility under the Erasmus + Program, you will be a student of the year during which you will be writing a final thesis (bachelor’s, engineering, master’s), before signing the contract, you will have to provide the office with the consent of your promoter for the mobility (in the form of e-mail or paper). If you do the internship during the academic year (not during the summer holidays), it will be necessary to obtain the IOS (Dean’s consent for the Individual Organization of Studies).

10. If you receive a social grant, you have the right to apply for a grant higher by 250 euro. To obtain the right to travel with an increased scholarship, you will need a copy of your current decision on granting a social grant or a copy of your disability certificate.

11. You sign the financial agreement with the University of Opole – about 2 weeks before departure. You deliver to the Erasmus + Office all the necessary documents listed above.
Signing the contract is a condition for going to an internship under the Erasmus + Program and receiving a scholarship. It is best to confirm the time and day of arrival to sign the contract by phone – thanks to this, your case will be handled more efficiently and without unnecessary waiting.

12. After signing the contract, the Erasmus+ Office will order the payment of your first grant installment. We will also give you a license for language support, i.e. access to the OLS platform where you will be able to learn the language of your mobility.

1. During the mobility, you report any CHANGES to LEARNING AGREEMENT During the mobility (LA) – to your Program Coordinator, who must accept them. The document must also be approved by the Dean and our Office. After we sign the document, we will send you a scan of it. You complete the LA During the mobility part only if any of the elements of your planned internship changes.
 
2. Before the return to Poland you get:
The third part of the LEARNING AGREEMENT “After the Mobility”, which confirms the programme and duration of your internship. The “After the Mobility” section of the Learning Agreement must be signed by your internship supervisor at the host institution. You must submit the original of this document to our Office.

1. Within 60 days from the end of the internship, you deliver to the Erasmus + Office:

3. If you carried out an internship as a compulsory during your studies, you also provide a copy of the Learning Agreement After the mobility to the Internship Department of the UO
